The following is a memo to all NKESC staff from August 28, 2006:

Dear NKESC Staff:

 

We are very impressed with how quickly all of you have acclimated yourselves to the HR-Portal system. We appreciate your efforts and your patience with us in getting this system up and running. As I have mentioned previously, there are some changes coming that I hope will make the system easier for you to navigate and use. Since we did not have time during the inservice to answer all of your questions and complete the instructions, I am sending this in an effort to clarify some things for everyone.

 

Earning and then taking Certified Adjusted Time (Certified Staff)

When you earn the time for an IEP meeting etc. you MUST code your daily log for that time as “Certified Adjusted Time Earned” This is how we know you are asking for the time. In the comments section write the reason why you earned the time.

Once your daily log is approved that time will show up on your dashboard

To take the time you first will complete an employee leave request form and put as the reason, “Certified Adjusted Time Used”

If that is approved you would then code the actual time used on your daily log as “Certified Adjusted Time Used”

 

Note: You no longer have to state when you will take the time when earning it. However, you need to take the time from the same district that you earned it. Only ask to take the time when you know for sure when you are using it. Don’t let it build up to the point where you need to take a week off the last week of school.

 

Submitting an Expense Voucher

Please only submit one expense voucher per month. Don’t submit one for each individual expense.

As of right now you will need to total the expenses by multiplying your miles driven by .445 and then put that total into the “Other expenses” in order to get it to total. We are working on fixing it in the mean time.

 

Inservice Log

 

                    Use the inservice log to keep a running total of your inservice hours but you only need to submit the log for approval twice; once by November 30 and again by April 10th.

 

For Part Time Employees Trading Days

If you work part time and need to trade the days you work because of an IEP meeting etc. please make the request using your weekly schedule rather than with a calendar change. Use the schedule to show the new day working and the new day off and then put the reason without using student names.

 

Calendar Change

A calendar change is for when you are asking to change the calendar in regards to holidays or spring break etc.

 

Weekly Schedule

Not everyone needs to do a weekly schedule. Only itinerant staff need to do one or if you need to show a change in your schedule due to trading days etc.

 

For NKESC internal staff

We are back to using the employee leave request rather than the schedule for asking sick leave, personal leave etc. We have done this because the leave shows up on your schedule when approved.

 

Professional Leave

We are in the process of tying requisitions to the professional leave. Even though that is not available yet, you still need to submit a requisition if your professional leave costs money.

 

Submitting an Issue Button

There is a button for submitting issues to netchemia. Unfortunately those of you who used the button did so because of a user error rather than a system error. Call us with the problem and we will determine if it is a user error and then we will inform netchemia.
